Record receiving discrepancies by carton and variant
Compare the arriving shipment with the packing list and purchase order. Identify each affected carton, SKU, size, color, and quantity. Separate missing units, extra units, damaged packaging, and product concerns so the supplier can review specific evidence.
Photograph the original receiving condition
Capture carton marks, visible packaging condition, product labels, and the relevant item before repacking. Keep photographs connected to the discrepancy record. Do not infer the cause or assign responsibility from a single image.
Compare the product with its approved reference
Use the accepted sample, specification revision, and agreed inspection method to describe a difference. State which requirement appears affected and what has actually been observed. Keep untested performance claims out of the receiving report.
Separate observation from resolution
Record the date, responsible contact, evidence shared, and supplier response for each concern. Any remedy, replacement, or commercial adjustment requires agreement; a discrepancy record does not establish a warranty or an automatic entitlement.
Close the receiving feedback record
Preserve the agreed outcome and update the next order's brief with accepted changes. A clear record helps compare later deliveries while keeping unconfirmed causes and proposed remedies explicitly open for review.
