Pre-shipment inspection records for a custom headwear order for wholesale assortment buyers: the buyer decision
A pre-shipment inspection record should let a reviewer identify what was inspected and what remains unresolved. A statement that goods were checked gives no basis for deciding whether the findings apply to the shipment.
Identify the lot and references actually inspected
Record purchase order, lot, SKU coverage, inspection date and sample identifiers. Attach the acceptance criteria used and photographs linked to individual findings. State any unavailable cartons or variants so the report does not imply coverage it did not achieve.
Apply the review to your buying program
Wholesale buyers should verify that the review covers the assortment's distinct constructions and variants. A finding on one color or size may need wider investigation, but its extent must be established. Keep affected stock identifiable while the responsible contact decides whether it may be allocated to customers.
Connect findings to disposition and recheck evidence
Separate observations from accepted exceptions and corrective actions. Record who may authorize shipment and what evidence closes each issue. A photograph of a repaired item does not demonstrate that the affected quantity has been rechecked.
Keep the decision evidence
Retain a findings register with location, affected scope, decision owner and closure evidence. Record release authority separately from the inspector's completion of the report.
