Vendor brief fields for a custom headwear sourcing request for sports program buyers: the buyer decision
A vendor brief helps a supplier decide what must be evaluated before quoting. Describe the intended product and open decisions without turning an inspirational reference into an unsupported manufacturing requirement.
Separate requirements from questions for the supplier
Provide reference views, intended use, proposed quantities and destination. Label non-negotiable details separately from alternatives the supplier may assess. Ask for comments on omissions rather than presenting unknown materials, construction or timing as already agreed.
Apply the review to your buying program
For a sports program, identify the authorized team representative and separate their role from coaches, sponsors and event coordinators who may provide comments. Record the scope of any sponsor decision. A logo comment should not be treated as approval of roster quantities or the complete order.
Make responses comparable across vendors
Ask each respondent to identify assumptions, exclusions and proposed substitutions against the same brief revision. Compare the scope of the response before comparing headline prices. A lower amount may describe a different construction or omit a requested service.
Keep the decision evidence
Send a vendor response grid linking each requirement to confirmed, proposed or unresolved status. Retain the brief revision used for every response.
