A logo file alone is not a production-ready decoration brief. To receive comparable quotes for custom hats, a buyer should specify the artwork, the intended method, the exact placement and the finish that will be checked on the sample. The checklist below separates what you can approve now from decisions the supplier must confirm after reviewing the actual cap construction.
Send artwork in a usable format
Provide a vector master such as AI, EPS or editable PDF when available, plus a PNG preview showing the intended colors. State the approved version and date. Include the exact wording, minimum clear space and any brand color references. A low-resolution screenshot can help explain an idea, but it should not be the only production source.
Specify placement in measurable terms
Name the panel or part of the hat, the desired finished width and height, and the distance from a visible reference such as the brim seam. For a curved front panel, ask for a placement mockup on the selected hat shape. Include separate instructions for side, back or under-brim marks rather than treating them as scaled copies of the front logo.
Compare decoration methods against the design
Embroidery can give a textured finish but very small lettering and fine gradients may need simplification. A patch can preserve a more complex graphic, while its edge, backing and attachment affect the final look. Printing can handle different detail but must be tested on the specified fabric and color. Ask the supplier which method fits the supplied artwork, target size, fabric and expected use; do not assume every method is interchangeable.
Put the approval criteria into the RFQ
Hat style, fabric, color and panel construction;
Artwork file name, revision, colors and exact logo dimensions;
Decoration method, placement and any thread, ink or patch-edge preference;
Quantity by color and size, packaging requirements and destination;
Sample photos or physical sample to approve before bulk production.
