Decision ownership for a multi-brand headwear program

A headwear program involving several brands needs clear ownership of design, artwork, product specification and commercial decisions. A shared calendar is useful only when the team knows who can approve each change and which document version is current.

Assign one owner to each approval

List the brand representative, product reviewer, procurement owner and logistics contact where those roles apply. Give each approval one responsible owner and identify contributors separately. A person who collects comments is not necessarily the person authorized to release the artwork or production specification. Keep those responsibilities explicit in the program record.

Keep brand requirements separate

Create a brief for each brand or collection covering the selected reference, logo treatment, colors, label content, packaging and intended use. Record shared requirements once and brand-specific exceptions beside the relevant style. Do not assume that an approval from one brand permits the same artwork, packaging or color choice for another brand.

Resolve conflicting instructions before release

When reviewers disagree, record the alternatives and the decision needed. Ask the responsible owner to choose the approved direction and document any conditions. Avoid forwarding several contradictory email threads as production instructions. A final handoff should show one current specification, with open issues clearly marked as pending.

Use a versioned handoff checklist

Connect each approval to the style identifier, artwork version, sample reference and purchase-order revision. Record who signed off and when. Confirm that the buyer, supplier and receiving team have the same files before the release decision. If the order changes, identify the affected approvals and update only the documents that need a new review.

Preserve commercial boundaries

Keep price, final MOQ, timing and transport arrangements separate from design approval. An accepted logo placement does not establish a delivery commitment. Request commercial confirmation against the complete order scope, including materials, variants, decoration, trims and packaging, before treating the program as ready for production release.
