A custom hat purchase order should not restart decisions that were already resolved in the quotation, artwork review, or sample stage. For importers, brand owners, promotional-products distributors, and team suppliers, the practical goal is to hand over one current project record so that the order reflects the approved brief and any remaining commercial questions are visible before production is authorized.
Identify the quotation version, the intended hat style, quantity, destination market, and the buyer contact responsible for confirming changes. Keep the related artwork, sample notes, packaging requirements, and prior approvals with the order record. This gives both sides a shared reference instead of relying on an earlier email thread or an image with no revision history.

Make the order easy to review by separating the requested items from optional or unresolved items. If a project includes more than one colorway, artwork version, packing arrangement, or delivery destination, label each group clearly. A clear record reduces the chance that a quote for one version is interpreted as approval for another.

Do not replace the approved project record with a newly renamed file without noting the change.
