Custom Hat Purchase Order Handoff Checklist for B2B Buyers

A custom hat purchase order should not restart decisions that were already resolved in the quotation, artwork review, or sample stage. For importers, brand owners, promotional-products distributors, and team suppliers, the practical goal is to hand over one current project record so that the order reflects the approved brief and any remaining commercial questions are visible before production is authorized.

Attach the Current Project Record

Identify the quotation version, the intended hat style, quantity, destination market, and the buyer contact responsible for confirming changes. Keep the related artwork, sample notes, packaging requirements, and prior approvals with the order record. This gives both sides a shared reference instead of relying on an earlier email thread or an image with no revision history.

Confirm What the Order Covers

Make the order easy to review by separating the requested items from optional or unresolved items. If a project includes more than one colorway, artwork version, packing arrangement, or delivery destination, label each group clearly. A clear record reduces the chance that a quote for one version is interpreted as approval for another.

  • Current quote or project reference and the buyer contact

  • Hat style, quantity, and item grouping

  • Approved artwork version and placement notes

  • Color reference and details that must match the approved brief

  • Packaging, labels, or shipping information available for review

  • Open questions that still require written confirmation

Keep Approved and Open Decisions Separate

A purchase order is stronger when it does not imply approval of details that are still being discussed. Mark the items confirmed through the sample or written review, then list any pending choice separately. Examples can include final artwork files, a packaging detail, delivery information, or an item that needs a revised quotation. This protects the buyer's intent and gives the supplier a clear reason to pause for confirmation rather than assume.

Use the Same Artwork and Color References

Do not replace the approved project record with a newly renamed file without noting the change. The custom hat artwork handoff checklist helps organize the artwork version, placement, and open design points. The custom hat color approval checklist can be used once that guide is publicly available to document the color references used for the production brief.

Connect the Order to Sample and Packaging Approval

When a sample was part of the project, record whether the order follows that approved reference or whether a named change was accepted after review. Include the relevant packing notes rather than leaving them outside the order record. Buyers can use the custom hat sample approval checklist and the custom hat packaging requirements guide to keep those handoffs traceable.

Send an Order-Ready Enquiry

CDHB Hats accepts custom OEM/ODM quotation requests. Custom projects can start from 50 pieces when the selected style and specification are suitable, while the applicable MOQ should be confirmed for the actual brief. For a new request, begin with the custom hat RFQ checklist and send the available project record through the project inquiry form.
