Buyer-supplier handoff checklist for a custom headwear program for sports program buyers: the buyer decision
A buyer-supplier handoff should transfer decision ownership as well as files. An attachment arriving in an inbox does not show that the receiving person understands what action is required.
Create an input and responsibility checklist
List the specification, artwork, quantity matrix and unresolved questions with their receiving owners. Identify which inputs are approved and which are still proposals. Ask the receiving contact to acknowledge exceptions instead of treating a delivery notification as technical acceptance.
Apply the review to your buying program
For a sports program, identify the authorized team representative and separate their role from coaches, sponsors and event coordinators who may provide comments. Record the scope of any sponsor decision. A logo comment should not be treated as approval of roster quantities or the complete order.
Close gaps before the next team starts work
Check that production, inspection and logistics contacts have the references relevant to their tasks. Assign a due decision for each missing input. Keep a handoff incomplete when an essential attachment or authority is missing rather than filling the gap with an assumption.
Keep the decision evidence
Retain a handoff register containing sender, recipient, document revision and required action. Close each line with an acknowledgement or a documented unresolved condition.
